Introduction
At Cocoa & Whey Cakes, we aim to ensure that every part of your experience is smooth, enjoyable and professionally managed. These Terms & Conditions outline how we provide our services and the responsibilities of both parties when placing an order.
Consultations
Wedding cake consultations are available by appointment and can be arranged by emailing us or using the contact form on our website. We will then contact you to schedule a convenient time for your tasting. A small fee applies to tasting appointments.
Couples usually attend together, and up to two additional guests may join by prior arrangement. Appointments typically last around an hour and include the opportunity to sample cakes, discuss design ideas, and explore any additional items such as favours or edible place names.
If you are unable to attend in person, we can arrange a postal tasting box for a fee. Please contact us for details.
Booking Fees
A non‑refundable booking fee is required to secure your date:
- Wedding cakes: £100
- Celebration cakes: 40% of the order value
- Signature Celebration Cakes: booking fee as quoted for your chosen design
Booking fees are non‑transferable and deducted from your final balance.
Payments
You will be invoiced for the remaining balance one week before delivery or collection, and payment must be received in full by that date.
Orders placed less than one week before delivery must be paid in full at the time of booking.
Payment is accepted by bank transfer; details will be provided on your invoice.
In the highly unlikely event that Cocoa & Whey Cakes must cancel your order, all payments made will be refunded in full.
Cancellations
Booking fees are non‑refundable.
If you cancel your order:
- More than 14 days before delivery: your booking fee is retained, but any additional payments will be refunded.
- Within 14 days of delivery: 50% of the full order value is payable.
- Within 7 days of delivery: the full order value is payable, as ingredients and preparation will already be underway.
If payment of the final balance is not received by the due date, your order may be deemed cancelled and the booking fee retained.
Delivery
Delivery is charged at £1 per mile (round trip), with a £20 minimum for celebration cakes. Wedding cake delivery and on‑site setup are quoted individually based on distance, venue access and the level of on‑site work required.
We liaise closely with your venue or event coordinator to ensure delivery at an appropriate time. Severe weather or unforeseen circumstances may affect access, but we will always do our utmost to deliver your cake safely and punctually.
Set Up (Wedding Cakes)
Many wedding cakes require assembly at the venue. Set‑up fees vary depending on the complexity of your design and the time required. Please contact us for details of your set‑up cost.
We take great care to ensure your cake is displayed safely and beautifully.
Alterations
Alterations to your order may be made up to four weeks before delivery, at our discretion. Changes to design, size or quantity may incur additional charges.
Publications
We reserve the right to use photographs of any cake created by Cocoa & Whey Cakes for marketing, portfolio, website and publication purposes.
Return of Hired Equipment
Hired items must be returned within three days of the event date unless alternative arrangements have been agreed. Any damage, loss or late return may incur additional charges, deducted from deposits or invoiced separately.
Allergies
All cakes are made in a kitchen where nuts, gluten and other allergens are present. While every effort is made to avoid cross‑contamination, cakes may contain traces of allergens.
Please inform us of any allergies when placing your order. We cannot guarantee allergen‑free products.
Inedible Items
Some decorative elements — such as fresh flowers, wired sugar flowers, cake jewellery or other non‑edible items — must be removed before serving. We are happy to liaise with your florist, but please note that some flowers are unsuitable for use on cakes due to toxicity.
